Processing terms for agencies
These terms apply when an agency ("you") asks Doorstory (a trading name of Brilly Group Limited (company number 14176606, address 703 Stockport Road, Levenshulme, Manchester, England, M12 4QN), run by Kit; [email protected]) to make a done-for-you listing pack (reel, portal video, brochure, captions) from your listing. For listing content that contains personal data, you are the controller and Doorstory is your processor, as set out in UK GDPR Article 28. See the ICO's guidance on controller–processor contracts.
1. Subject matter and duration
Making the pack from the listing you send us (its URL, photos, brochure text and agent contact details), for as long as it takes to deliver the pack and any agreed fixes.
2. Your instructions
We process the listing data only to make and fix your pack, on your documented instructions, unless the law requires otherwise (in which case we will tell you, unless the law forbids it).
3. Your photo rights
You confirm that you hold, or are licensed to use, the rights to the listing photos and text for this purpose. You confirm this by email before any work starts, and we use only material you have that right to.
4. Confidentiality and security
Only the Doorstory team can see your request emails and listing material. They are kept in our mailbox and on a computer we control, with access restricted and nothing made public. We use appropriate technical and organisational measures (Art 32).
5. Sub-processors
Request emails and their attachments are held by our email provider, Microsoft 365 Business, from Microsoft. Our website is hosted by Cloudflare, which does not receive your listing material. We will tell you in advance before adding any others (for example, Stripe if you choose to pay by card), and you may object.
6. Assistance
We will help you respond to requests from individuals and meet your security, breach-notification and impact-assessment duties. We will tell you without undue delay if we become aware of a personal data breach affecting your data.
7. End of service
When the pack is delivered and fixes are closed, we delete or return your source material as you choose. We keep contact-request emails and uploaded files for 30 days, then delete them. We email you a reminder 7 days and 1 day before your files are deleted, so you can download anything you need. We keep finished packs for 90 days after delivery, then delete them, with the same reminders 7 days and 1 day before.
8. Audits
We will give you the information you need to show these obligations are met, and allow reasonable audits.
9. Price, approval and payment
A pack costs £29 + VAT. We first send a watermarked preview. Approval is an explicit reply only (for example, "approved"). Silence never counts as approval, and using the preview (posting it or adding it to a portal) does not count either. If we haven't heard from you, we send one reminder after 3 days, and after 14 days the order closes with nothing owed. You pay only after you approve. After you approve, we send either a secure card payment link (Stripe) or a bank-transfer invoice, whichever you prefer; clean files are released once payment clears.
Each pack includes one round of changes; send them all together. If something in the pack doesn't match the material you sent us, that's our mistake: we fix it free within one working day, at any time, and it doesn't use up your round of changes. If the error came from your own material, we correct it using your round of changes.
Refunds: no payment is taken before you approve the preview, so a refund applies only if, after payment, we make a mistake we can't fix. Tell us and we'll refund the £29 + VAT in full. This doesn't affect your legal rights.
